أهمية الاتصالات للإدارة والمدير

تلعب الاتصالات دوراً هاماً داخل الإدارات، فهي تحافظ على تدفق وانسياب العمل داخلها، فكلما كانت هناك أنظمة جيدة للاتصالات كلما زادت كفاءة العمل.
أهمية الاتصالات للإدارة والمدير:-

تهتم نظرية الإدارة الحديثة ليس فقط بالوظائف التقليدية للإدارة وإنما تهتم أكثر بالطريقة التي يعمل بها المدير، وكيف ينفق وقته، وكيف يؤدي عمله، وما هي الأدوار والأنشطة والمهام التفصيلية التي يقوم بها المدير فعلاً أثناء تأدية عمله. فنظرية الإدارة الحديثة تهتم مثلاً بأن المدير يلعب أدواراً مثل الاتصال بالجهات الخارجية، وتمثيل الإدارة رسمياً وتجميع وتحليل المعلومات ونشرها والتحدث باسمها وحل المشاكل والتعارض مع الغير وغير ذلك من المهام والأدوار.

وتعتبر الاتصالات وسيلة المديرين, في إدارة أنشطتهم الإدارية وفي إدارة وتحقيق أهداف العمل، وذلك باعتبار أن الاتصالات تساعد في القيام بالتالي :-

1. تحديد الأهداف الواجب تنفيذها.

2. تعريف المشاكل وسبل علاجها.

3. تقييم الأداء وإنتاجية العمل.

4. التنسيق بين المهام والوحدات المختلفة.

5. تحديد معايير ومؤشرات الأداء.

6. إصدار الأوامر والتعليمات.

7. توجيه العاملين ونصحهم وإرشادهم.

8. التأثير في الآخرين وقيادتهم.

9. حفز وتحميس العاملين.

وعناصر الاتصال هي:-

1. الراسل.. ولديه مجموعة من الأفكار والمعلومات التي يود أن ينقلها إلى الطرف الآخر ويتأثر ذلك بفهمه وإدراكه للأمور.

2. الرسالة.. وهي عبارة عن تحويل الأفكار إلى مجموعة من الرموز ذات المعاني المشتركة بين الراسل والمستقبل. ومن أشكال الرموز...الكلمات، الحركات والأصوات، الحروف والأرقام، الصور والسكون وتعبيرات الوجه، الجسم والتلامس والمصافحة، الهمسات.

3. الوسيلة.. هناك العديد من الوسائل الخاصة بالاتصال، فمنها المنطوق أو الشفهي كالمقابلات الشخصية والاجتماعات، واللجان والتلفون والندوات. وهناك الاتصالات المكتوبة كالخطابات والمذكرات والتقارير والمجلات والمنشورات الدورية واللوائح.

4. المستقبل.. يستقبل الطرف الآخر الرسالة من خلال حواسه المختلفة، ويختار وينظم المعلومات ويحاول أن يفسرها ويعطي لها المعاني والدلالات. إن هذه العمليات الإدراكية وما يؤثر فيها من عناصر الشخصية والدافعية والتعلم تحدد ما يفهمه وما يقبله الشخص المستقبل للأفكار والمعلومات المرسلة إليه.

ولكن قد تتعرض الاتصالات إلى معوقات نذكر منها:-
معوقات الاتصال :-

تتعرض عملية الاتصال لبعض المعوقات التي تقلل من كفاءته، وهذه المعوقات تؤدي إلى التشويش على عملية الاتصال نفسها، وعليه يمكن تقسيم معوقات الاتصال إلى معوقات في المرسل، ومعوقات في الرسالة، ومعوقات في وسيلة الاتصال، ومعوقات في المستقبل، ومعوقات في بيئة الاتصال.
معوقات في الراسل:-

تنحصر الأخطاء التي يقع فيها الراسل في عدم التبصير بالعوامل الفردية أو النفسية التي تعتمل بداخله والتي تؤثر في شكل وحجم الأفكار والمعلومات التي يود أن ينقلها إلى المرسل إليه، ومن هذه العوامل...الخبرة، التعلم، الفهم، الإدراك، الشخصية، العمليات الوجدانية والعقلية، أما أهم الأخطاء التي يقع فيها الراسل فهي:-

1. أن دوافع الراسل تؤثر في طبيعة وحجم المعلومات التي يقوم بإرسالها إلى المستقبل.

2. اعتقاد الراسل أن سلوكه في كامل التعقل والموضوعية.

3. تصرفات الراسل تكون لمصلحته الشخصية غالباً ولا تكون لمصلحة العمل.

4. سوء إدراك الراسل وفهمه للمعلومات التي يرسلها، واختلاف إدراك وفهم الآخرين لها.

5. الحالة الانفعالية للراسل تؤثر في شكل المعلومات التي يقوم بإرسالها.

6. قيم ومعتقدات الراسل وميوله واتجاهاته النفسية، تؤثر في شكل المعلومات التي لديه.

7. عمليات الحكم الشخصي والتقدير، الإضافة، الحذف، والتغيير الذي يقوم به الراسل للمعلومات التي لديه.

8. الاعتقاد بأن المرسل إليه، ينظر إلى المعلومات، بنفس الشكل الذي ينظر هو إليها.

9. التحيز لطبيعة الأمور والأحداث.
معوقات في الرسالة:-

تتعرض المعلومات أثناء وضعها في رسالة لبعض المؤثرات التي تغير من أو تسيء إلى طبيعة وشكل وحجم ومعنى المعلومات والأفكار، ويحدث الخطأ في الرسالة أثناء صياغة المعلومات أو ترميزها أو تحويلها إلى كلمات وأرقام وأشكال وحركات وجمل وغيرها. ومن أهم المؤثرات التي تتعرض لها الرسالة أثناء صياغتها:-

1. سوء الإدراك أو الفهم للمعلومات التي تتضمنها الرسالة.

2. عدم القدرة على انتقاء كلمات سهلة ومعبرة.

3. افتقار الراسل إلى القدرة على تعزيز معنى الرسالة ببعض تعبيرات الوجه أو حركات الجسد.
معوقات في وسيلة الاتصال:-

تتسبب عدم مناسبة وسيلة الاتصال لمحتوى الرسالة، ولطبيعة الشخص المرسل إليه في فشل الاتصال في كثير من الأحيان، وعليه يجب أن يقوم الراسل بانتقاء وسيلة الاتصال الشفوية أو المكتوبة المناسبة حتى يزيد من فاعلية الاتصال.

ومن أهم المعوقات التي يمكن أن توجد في وسيلة الاتصال:-

1. اختيار وسيلة الاتصال التي لا تتناسب مع الموضوع محل الاتصال.

2. عدم ملاءمة وسيلة الاتصال للوقت المتاح للاتصال.

3. اختيار وسيلة الاتصال لا تتناسب مع الأفراد القائمين بالاتصال.

4. عدم إتباع الراسل للإجراءات الرسمية في استخدام وسيلة الاتصال.

5. المساواة بين استخدام الوسائل المكتوبة وبين الوسائل الشفوية للاتصال.
معوقات في المستقبل:-

يقع المرسل إليه في الخطأ عند استقباله للمعلومات التي يرسلها الراسل. وتتشابه الأخطاء التي يقع فيها المستقبل مع تلك الأخطاء التي يقع فيها الراسل.
معوقات في بيئة الإتصال:-

يقع أطراف الاتصال في أخطاء عديدة عندما يتغافلون بتأثير البيئة المحيطة بهم، والمحيطة بعملية الاتصال. وعدم الأخذ بعناصر البيئة وتأثيرها على الاتصال يجعل هذا الاتصال إما غير كامل أو مشوش. وسنعرض فيما يلي عناصر بيئة الاتصال والأخطاء الخاصة بها.

1. أحد أطراف الاتصال أو كلاهما على غير علم أو لا يفهم الأهداف المشتركة بينهما.

2. أحد أطراف الاتصال تتعارض أهدافه مع أهداف الطرف الآخر في الاتصال.

3. أحد أطراف الاتصال أو كلاهما لا يفهم وظيفة الطرف الآخر على خير وجه، فيكون الاتصال معيباً.

4. أحد الأطراف أو كلاهما لا يفهم الفوائد التي ستعود عليه من جراء الاتصال.

5. أحد الأطراف أو كلاهما لا يفهم العواقب السيئة التي ستصيبه أو تصيب الإدارة والآخرين من جراء سوء الاتصال.

6. عدم إتسام البيئة بالابتكار والتعزيز ( من قبل الرؤساء ) يحبط عمليات الاتصال.

7. عدم إتسام البيئة بالعدالة والثقة ( من قبل رؤساء المنظمة ) يحبط عمليات الاتصال.

8. عدم توفير معلومات مرتدة عن مدى التقدم في الاتصال يحبطها.
كفاءة الاتصال:-

تتميز الاتصالات ذات الكفاءة العالية بالخصائص التالية بصفة عامة السرعة وتقديمها لمعلومات مرتدة وتسجيلها وتخصيصها على شخص معين وملائمة شكلها لموضوعها، بقائها في الذهن، تأثيرها على السلوك، وتكلفتها المنخفضة, فمدى السرعة أو البطء في نقل المعلومات قد يعود إلى الوسيلة المستخدمة.
